The North Caribbean Conference is seeking a dedicated, organized and proactive Administrative Assistant to join our office team. The successful candidate will provide essential administrative support, manage communications, coordinate appointments and facilitate daily office operations in a dynamic and confidential work environment.
Responsibilities:
- Managing communications, including answering and routing calls, greeting visitors and handling correspondence in a professional manner.
- Schedule appointments, organize meetings, manage calendars and prepare meeting minutes and reports for administration.
- Maintain accurate digital and physical filing systems and prepare documents, memos, letters and presentations for the department.
- Order office supplies, monitor inventory and manage office equipment.
- Provide comprehensive support to administrative staff and team members; assist in the coordination of internal and external events and special projects.
- Implement and improve administrative procedures; maintain confidentiality of sensitive information at all times.
Essential Qualifications:
- High school diploma or equivalent required; college degree preferred but not required.
- Several years of experience in an office or administrative role supporting multiple departments.
- Confident with Microsoft Office Suite (Excel, Word, PowerPoint) and Google Workspace (Docs, Sheets, Slides).
- Excellent written and verbal communication skills; strong customer focus and interpersonal skills.
- Proven organizational skills with the ability to prioritize tasks, multitask and handle multiple projects efficiently.
- Professional demeanor, sound judgment and commitment to ethical standards; ability to maintain confidentiality and discretion.
- Flexibility to occasionally work overtime during busy periods or special projects.
